When you need a formal letter
Even in the age of WhatsApp, many situations still call for a proper letter. Offices ask for a written leave application so that it can be kept on record. Colleges want a letter for a bonafide certificate, a change of section or a fee concession. Banks, housing societies and landlords often expect a short written request before they act.
A formal letter is not about fancy English. It is about making it easy for a busy person to understand who you are, what you want, from when to when, and how to reach you. If the reader can say yes after one quick read, your letter has done its job.
The parts of a formal letter, in order
Most formal letters in India follow the same basic layout. Keep the parts in this order and leave a blank line between them so the letter does not look crowded.
- Your name, designation or class, and contact details at the top
- Date, written in full, for example 2 November 2026
- To: the receiver’s designation, department and organisation or institution
- Subject line: one short line that says exactly what the letter is about
- Salutation: Dear Sir or Madam, or Dear Mr Rao if you know the name
- Body: two or three short paragraphs covering the reason, the dates and any arrangement you have made
- Closing line and sign-off: Thank you, then Yours sincerely or Yours faithfully
- Signature, your full name and, for office letters, your employee ID
Getting the tone right
A good formal letter is polite, direct and brief. Write the request in the first paragraph rather than building up to it. Give a genuine reason in one or two sentences; you do not have to share private details, and a phrase like a family function or a medical appointment is usually enough.
Avoid language that sounds like begging or that makes demands. Phrases such as kindly grant me leave or I request you to consider are fine. Lines like I humbly beg to state are old-fashioned and add nothing. Equally, do not write as if the leave is already approved unless your company’s policy says it is automatic.
Use Yours sincerely when you have addressed the person by name, and Yours faithfully when you have used Dear Sir or Madam. Many offices accept either, but being consistent looks careful.
A sample leave letter for office use
Here is a short example you can adapt. Change the names, dates and details to match your situation.
Priya Nair, Accounts Assistant, Employee ID AC1043, Kochi. 2 November 2026.
To: The Manager, Accounts Department, Sunrise Traders Pvt Ltd, Kochi.
Subject: Request for casual leave from 11 to 13 November 2026.
Dear Mr Thomas,
I request casual leave for three working days, from Wednesday, 11 November to Friday, 13 November 2026, to attend my cousin’s wedding in Thrissur. I will rejoin work on Monday, 16 November 2026.
I will finish the pending vendor payment entries before I leave, and my colleague Anil Kumar has agreed to handle any urgent queries during this period. I will also be reachable on my phone, 98XXXXXX10, if something needs my attention.
Thank you for considering my request. Yours sincerely, Priya Nair.
Notice how the subject line already tells the manager the type of leave and the dates. The body repeats the dates with the days of the week, which prevents confusion, and it explains how the work will be covered. That last part is often what gets a leave approved quickly.
Mistakes that make a letter look careless
Small errors can make the reader doubt the whole request. Read your letter once slowly before sending it.
- Dates that do not match, such as three days of leave but four dates listed
- A missing or vague subject line, like Leave or Request
- Wrong name or designation of the receiver
- Writing in SMS style, with short forms like pls, u or thx
- Very long reasons that hide the actual request
- Forgetting to mention when you will return or who will cover your work
- Leaving a template phrase or someone else’s name in the letter by mistake
Writing it and sending it as a PDF
If you are emailing the letter, sending a PDF is usually the safest choice. It looks the same on every phone and computer, and the reader cannot change it by accident. Put the subject line of the letter in the email subject too, and write two lines in the email body saying that the letter is attached.
You can type the letter in the Filyzo Document Editor, which has headings, alignment and bold formatting for the subject line. When it is ready, click Download PDF and choose Save as PDF as the printer in the print window. Use Download Word (.docx) as well if you want to keep an editable copy for next time. If you already wrote the letter in Word on another computer, open the .docx in the Word to PDF tool, check the preview and save it as a PDF.
Give the file a clear name, for example Priya_Nair_Leave_11-13_Nov_2026.pdf, so that HR can find it later. If your office needs a signed copy, print the letter, sign it, and keep a photo or scan for your own records.
