Why online forms limit PDF size
Government portals, university admission sites and job application forms often set a maximum file size for documents such as mark sheets, caste certificates, ID proofs and experience letters. Limits like 100 KB, 200 KB, 300 KB or 500 KB are common, but every portal sets its own rule, so read the instructions on the form or in the official notification before you start.
These limits exist because the portal has to store documents from thousands or lakhs of applicants. Small files also upload faster on slow mobile connections, which reduces failed submissions near the last date.
What makes a PDF large in the first place
Most oversized PDFs are scans. When you scan a page on a phone or a scanner, each page is stored as a full photograph. A single page scanned in colour at a high resolution can easily be 1 MB or more on its own.
Text-based PDFs, such as a document you typed in Word and saved as PDF, are usually small already. If a typed document is still large, it probably contains big embedded images, logos or fonts.
- High scan resolution (for example 600 DPI when 150 to 200 DPI is enough for reading)
- Colour scans of documents that are really black and white
- Extra pages you do not need to submit, such as blank backs of certificates
- Photos taken in bright daylight with a lot of background around the paper
Step by step: compress a PDF to the required size
Start with the best quality original you have, then reduce it. Compressing an already compressed file again and again makes text blurry quickly.
With the Filyzo Compress PDF tool, the work happens inside your browser, so your certificates and ID documents are not uploaded to a server. That is a sensible habit with any personal document.
- Open the Compress PDF tool and select your file.
- Choose a stronger compression level if your target is small, such as 100 KB.
- Download the result and check the file size shown in your file manager.
- Open the compressed PDF and zoom in. Make sure names, numbers, seals and signatures are still readable.
- If it is still too large, try a stronger level, or reduce the number of pages as explained below.
When compression alone is not enough
A 10 page scanned document will be hard to bring under 100 KB while keeping it readable. In that case, look at what the form actually asks for. Often only the first page of a certificate, or only the pages with marks, are required.
You can use Split PDF to keep only the needed pages and then compress the smaller file. If the portal allows several uploads, you can also split a long document into parts and upload each part in its own field.
Another option is to rescan the document properly. Use plain white light, crop tightly to the edge of the paper, choose greyscale or black and white for text documents, and keep the resolution moderate. A clean scan compresses far better than a shadowy photo.
Common mistakes to avoid
Students often rush this step on the last day of the application window. A few minutes of checking can save a rejected form.
- Uploading a file that is under the limit but unreadable. The verifying officer must be able to read every number.
- Renaming a JPG file to .pdf. This does not convert it, and the portal may reject it or show an error. Convert it properly instead.
- Compressing the same file many times in a row, which blurs text each time.
- Ignoring the minimum size. Some portals also set a lower limit, such as 10 KB or 20 KB.
- Not keeping the original. Always save the full quality version separately in case you need it later for verification.
Quick checklist before you upload
Confirm the size limit and the allowed format (PDF only, or JPG also accepted) in the official instructions. Check that the file opens on your phone and on a computer. Make sure the file name is simple, without special characters, because some older portals reject names with spaces or symbols. A name like marksheet_class12.pdf is safe. Finally, preview the uploaded document on the portal if it offers a preview, and only then submit the form.
