How to Format a Project Report or Assignment and Make a Final PDF

Format a college project report or assignment: title page, headings, page numbers, adding signed and scanned pages, and putting it all into one clean final PDF.

Follow your department’s format first

Colleges and universities usually give a format for project reports, internship reports and major assignments. It may cover the order of pages, fonts, margins, line spacing, binding and how many copies to submit. Some departments share a sample report or a template file. If you have one, follow it exactly, even where it differs from the general advice here, because examiners check against their own guidelines.

If nothing is specified, the structure below is widely used in Indian colleges and is a safe starting point. Ask your guide or class coordinator if you are unsure about any part.

The usual order of pages

A full project report typically has preliminary pages, the main chapters, and closing material. A short assignment may need only the title page, the content and references.

  • Title page (cover)
  • Certificate from the guide or head of department, if required
  • Declaration by the student
  • Acknowledgement
  • Abstract or summary
  • Table of contents, and lists of figures and tables if you have many
  • Chapters: introduction, literature review or background, method, results, discussion, conclusion
  • References or bibliography
  • Appendices such as questionnaires, code listings or raw data

Making a clear title page

The title page is the first thing an examiner sees, so keep it centred, uncluttered and complete. It usually carries the title of the project, the words Project Report or Assignment along with the subject and course, your name and roll number or registration number, the name of the guide, the department, the college or university name and logo, and the academic year.

Use the largest text only for the title. Avoid decorative fonts, clip art and coloured page borders unless your department asks for them. Check the spelling of names, especially your guide’s name and designation, because errors on the cover are noticed immediately.

Headings and body text

Consistent headings make a report easy to follow. Use one style for chapter titles, a smaller one for sections, and a third for sub-sections, and number them in a simple pattern such as 1, 1.1 and 1.1.1. Begin each chapter on a new page.

In Filyzo’s Document Editor you can apply Heading 1, Heading 2 and Heading 3 from the toolbar, add bulleted and numbered lists, insert tables and images, and align text. You can also open an existing .docx file and continue editing. The draft is saved automatically in that browser, and you can download it as Word (.docx) or as a PDF.

If your guidelines ask for a particular font, font size or line spacing, such as 1.5 spacing, make sure the final document actually uses it. For detailed layout control like that, finish the file in a full word processor before making the PDF.

Combining typed, signed and scanned pages

Reports often include pages that cannot be typed, such as a certificate signed by your guide, an internship completion letter or a hand-drawn diagram. The neatest approach is to make each part as its own PDF and then join them.

  • Save the typed content as a PDF. In Document Editor, tap Download PDF and choose Save as PDF as the printer in the print window. In Chrome, untick Headers and footers under More settings so the date and web address are not printed on every page.
  • Scan signed pages with your phone and convert the photos with JPG to PDF, keeping Fit images on A4 pages ticked so they match the size of the typed pages.
  • Open Merge PDF, add all the parts, and use the arrows to arrange them in the page order listed above.
  • Tap Merge PDF and download the combined report.

Adding page numbers

Adding numbers after merging means the scanned pages get numbered too, and the numbering runs correctly across the whole report. Open Add Page Numbers, select the merged PDF, and pick a position such as Bottom centre or Bottom right, and a format of 1, Page 1 or Page 1 of 10.

Turn on Skip first page (cover) so the title page stays clean. With this option the second page receives the value in Start numbering at, so leave it at 1 if numbering should begin after the cover, or set it to 2 if you want each number to match the actual page position. The tool uses ordinary numerals; if your college wants Roman numerals for the preliminary pages, set that up in a word processor instead.

Finally, update the table of contents so the page numbers listed there match the numbers that now appear on the pages.

Final checks before submission

Read the whole PDF once on a laptop or tablet, not only on a phone, because layout problems are easier to spot on a larger screen. Confirm every chapter starts where the contents page says it does, figures and tables have captions, and references follow the style your department uses. Name the file as instructed, or in a clear form such as rollno_name_project_report.pdf. If you must upload it to a portal with a size limit, compress a copy and keep the full-quality version for printing and binding.
